This guide walks you through signing in, completing the first-time setup, and raising your first maintenance job.

1

Go to your PropOps URL

Open the URL provided by your administrator — for example, https://yourorg.propops.app. PropOps runs in any modern browser.
Install PropOps as an app so it opens in its own window and you receive push notifications. In your browser, look for an Install or Add to Home Screen option in the address bar or the browser menu.
2

Enter your credentials

Enter the email address and password provided by your administrator (or set during registration) and click Sign in.If you have forgotten your password, click Forgot password on the login page. You can request up to three reset emails every 15 minutes.
3

Pass any security checks

Depending on your account type and login conditions, you may be redirected to a security check before reaching your dashboard. See Security checks below for what to expect.

Security checks

PropOps includes several security gates that protect your account. When triggered, you are redirected to a verification screen and returned to your intended page once you have passed.

Email verification

If your email address has not been verified, you will see a prompt to enter a code sent to your inbox.
1

Check your inbox

Find the verification email from PropOps. It contains a one-time code.
2

Enter the code

Type or paste the code into the field on screen and submit it.
3

Continue to the platform

Once verified, you are taken directly to your destination. You will not be asked to verify again unless your email address changes.
Staff accounts do not go through email verification. This check applies to Agents, Contractors, Landlords, and Tenants.

Login from a new location

If you sign in from an IP address that PropOps has not seen before, it will ask you to confirm your identity.
1

Check your inbox

PropOps sends a PIN to your registered email address.
2

Enter the PIN

Enter the PIN on the verification screen. Once accepted, your current location is trusted for future logins.
If you work from multiple locations (home, office, mobile), you will be asked to verify each new IP address the first time you use it. After that, PropOps remembers it.

Document approval

Some account types — particularly Contractors — must submit identity or certification documents before gaining access. If your documents are pending or have not yet been approved by your administrator, you will see a holding screen explaining the status. Upload any requested documents through the prompt on screen. Your administrator will review them and approve your account. You will receive a notification once approved.

Re-authentication

Before accessing sensitive areas such as account settings or security controls, PropOps may ask you to re-enter your password. This protects your account even if someone else has access to your browser session. Enter your current password when prompted and you will be taken straight to your intended page.

Complete onboarding

First-time users are guided through a short setup before reaching the dashboard.
1

Complete your profile

Confirm or fill in your first name, last name, and phone number. Your email address is pre-filled and cannot be changed here.
2

Review policies

Read and accept the Privacy Policy and Terms of Service. You can also set your email notification preference at this step.
3

Finish setup

Click Complete Setup. You are taken to your dashboard and your onboarding is recorded as complete.

Explore your dashboard

Your dashboard gives you a live snapshot of what is happening across your properties and jobs.
  • Accepted jobs — jobs currently in progress
  • Recalls — completed jobs that have been reopened
  • Revenue — financial summary for the current period
  • New jobs today — jobs raised since midnight
Widgets on your dashboard are customisable. You can rearrange or hide them to focus on the metrics most relevant to your role.
The data you see is filtered to your account type and permissions. Agents see activity for their branch; contractors see only their assigned jobs.

Create your first job

1

Go to Jobs

In the main navigation, click Jobs. This opens the job list for your branch or organisation.
2

Click New Job

Click the New Job button (usually in the top-right corner of the job list).
3

Fill in the job details

Complete the required fields:
  • Property address — the address where the work is needed
  • Job type — the category of work (e.g., plumbing, electrical, general maintenance)
  • Priority — how urgently the job needs to be completed
  • Assigned contractor — the trade professional who will carry out the work
You can also add a description, set an SLA deadline, and attach any relevant documents at this stage.
4

Submit the job

Click Create Job. PropOps records the job, notifies relevant parties, and begins SLA tracking automatically.
If your organisation uses approval gates, the job may need to be reviewed by a manager before it progresses. You will see the job status reflect this.
5

Track and communicate

Open the job record to add case notes, upload photos or documents, and communicate with the contractor or tenant. Email replies from participants are automatically threaded back to the job record.

Install PropOps on your device

PropOps is a Progressive Web App — you can add it to your home screen or taskbar without visiting an app store. On a desktop browser (Chrome, Edge):
  1. Look for the install icon in the address bar (a computer screen with a download arrow).
  2. Click it and select Install.
  3. PropOps opens in its own window and appears in your applications list.
On an iPhone or iPad:
  1. Open PropOps in Safari.
  2. Tap the Share icon (the box with an arrow pointing up).
  3. Scroll down and tap Add to Home Screen.
  4. Tap Add to confirm.
On Android:
  1. Open PropOps in Chrome.
  2. Tap the three-dot menu.
  3. Tap Add to Home Screen and follow the prompt.
Once installed, push notifications work the same as a native app — you will receive job updates, security alerts, and messages even when PropOps is not open in your browser.
