1. What is Making Tax Digital?
Making Tax Digital (MTD) is a UK Government initiative led by HM Revenue & Customs (HMRC) to modernise the tax system. It requires businesses to keep digital records and submit tax information to HMRC using compatible software. MTD currently applies to:- VAT — all VAT-registered businesses must keep digital records and file VAT returns through MTD-compatible software.
- Income Tax Self Assessment (ITSA) — being rolled out from April 2026 for qualifying self-employed individuals and landlords.
2. PropOps Web’s Role
PropOps Web is a property-operations platform, not accounting software. Its financial features are designed for operational job-level tracking:- Quotes & invoices — creation and tracking of quotes and invoices against jobs.
- VAT calculations — automatic VAT computation on quotes, contractor costs, and commissions.
- Payment tracking — recording payments made and received at the job level.
- Financial reporting — operational reports and analytics for property management workflows.
3. Xero Integration
PropOps Technologies Ltd is developing an integration with Xero — a fully MTD-compliant accounting platform. The planned integration will allow PropOps Web to:- Send quotes and invoices from PropOps Web directly to Xero.
- Sync payment status between PropOps Web and Xero.
- Push financial data from jobs into Xero for proper accounting treatment.
3.1 What PropOps Web Handles
- Creating and managing quotes and invoices within the property-operations workflow.
- Tracking payments at the job level.
- Sending financial documents to Xero via the integration.
3.2 What Xero Handles
- Full double-entry accounting and bookkeeping.
- MTD-compliant VAT return preparation and submission to HMRC.
- MTD for Income Tax quarterly updates and filings.
- Bank reconciliation, tax reporting, and all HMRC submissions.
The Xero integration sends operational financial data from PropOps Web into Xero. All MTD submissions, tax filings, and HMRC communication are handled entirely within Xero — not PropOps Web.
4. Your Responsibilities
The Licensee is responsible for:- Using MTD-compliant accounting software (such as Xero) for all tax obligations, returns, and HMRC submissions.
- Ensuring financial data sent from PropOps Web to Xero is accurate and complete.
- Registering for MTD with HMRC and maintaining a valid Government Gateway account.
- Meeting all filing deadlines — PropOps Web does not manage or monitor HMRC deadlines.
- Consulting a qualified accountant or tax adviser for tax-related decisions.
- Maintaining an active Xero account (or equivalent) with appropriate MTD subscriptions.
5. Data & Privacy
- Xero credentials — authentication tokens for the Xero integration are stored securely within your self-hosted PropOps Web instance. PropOps Technologies Ltd has no access to them.
- Financial data — all financial records remain on your infrastructure. When data is sent to Xero, it is transmitted directly from your instance to Xero’s API. No financial data passes through PropOps Technologies Ltd’s servers.
- Xero’s privacy practices — data held within Xero is governed by Xero’s Privacy Policy and terms of service.
