Reports give you structured, detailed views of financial data, staff activity, and branch performance — beyond the at-a-glance stats on the dashboard. Access reports from the Reports section in the sidebar.

Financial report

The financial report shows a complete breakdown of money in and out across all jobs, grouped by branch.

What it covers

For each branch, the report lists every job with:
  • Job reference and title — the identifier and description of the work
  • Property address — where the job was carried out
  • Agent and contractor — who managed and carried out the work
  • Agent amount (client comms) — the agreed charge to the client
  • Contractor amount — what was paid or owed to the contractor
  • In-house commission — the portion retained by your organisation
  • Payment status — whether client payment has been received, contractor payment sent, and commissions settled
Branch-level and organisation-wide totals are shown at the bottom of each section.

Accessing the report

Go to Reports

Select Reports → Financial from the sidebar navigation.

Search and filter

Use the search bar to filter by branch name, property address, job reference, or job title. Results update as you type.

Review by branch

Jobs are grouped alphabetically by branch. Expand a branch to see individual job rows and the branch subtotal.
The financial report covers up to 2,000 jobs at a time. If your organisation has a large volume of jobs, use the search filter to focus on a specific branch or property.

User report

The user report shows how staff members are contributing to the platform — useful for understanding workload distribution and account activity.

What it covers

The summary table lists every staff account with counts of:
  • Jobs added — jobs created by this user
  • Case notes added — notes written on job records
  • Files added — documents and photos uploaded
  • Accounts created — new user accounts set up
  • Branches created — new branches added to the system
  • Last activity — when the user was last active
The detail section shows the same data broken down job by job, including the case notes written and files uploaded on each one. You can also see a list of accounts and branches created by each staff member.

Filtering

Use the search bar to filter by staff name, email address, or job reference. Use the Staff member filter to focus the report on a single user. Pagination controls let you step through large detail tables.

Branch performance

Branch performance analytics score each branch on a 0–100 scale with a letter grade from A+ to D. The score takes into account:
  • Job completion time — average days from creation to completion
  • Payment speed — how quickly invoices are settled
  • Quote acceptance rate — the proportion of quoted jobs that proceed
  • Revenue — total job value processed through the branch
The analytics view highlights your top performing branches and flags branches needing attention — those with below-average scores or specific problem indicators. You can compare two branches side by side to identify best practices and close performance gaps.

AI-generated reports

PropOps can generate narrative reports using Google Gemini AI. Rather than a table of numbers, an AI report gives you a written analysis with context, root-cause commentary, and recommended actions.

Available report types

Executive summary

A concise overview (~300 words) of job health and branch performance — suited for leadership briefings.

Comprehensive analysis

A detailed report covering job issues, branch comparisons, financial health, and operational trends.

Branch comparison

Identifies best practices in your top-performing branches and highlights improvement opportunities elsewhere.

Quick wins

Actionable recommendations focused on changes you can make in the next week.

Generating a report

Open the AI reports page

Go to Reports → AI Reports in the sidebar.

Choose a report type

Select the type of report you want from the dropdown — Executive Summary, Comprehensive Analysis, Branch Comparison, or Quick Wins.

Generate

Click Generate AI Report. The report typically takes 5–10 seconds to produce.

Read and act

The report appears on screen as a narrative analysis. It includes identified issues, branch comparisons, and specific recommendations you can act on directly.
AI reports require the Gemini AI integration to be configured by your administrator. If the Generate AI Report button is unavailable or returns an error, contact your system administrator to confirm the integration is active.
