PropOps stores a profile for each contractor your organisation works with, covering their trades, qualifications, and the areas they cover. A smart matching system and an interactive map help you assign the right contractor to every job quickly.
Contractor profile
Each contractor record holds:

| Documents | Uploaded files such as insurance certificates, Gas Safe cards, and identity documents |
Keep certifications up to date. PropOps tracks expiry dates and sends automated reminders before a certificate lapses — an expired certification can prevent a contractor from being matched to certain job types.
Certifications and documents
Certifications are stored with an issue date and an expiry date. PropOps monitors these dates and alerts both the contractor and your staff before a certificate expires.
To add a certification:
- Open the contractor’s profile.
- Select Add Certification.
- Enter the certification name, issuing body, issue date, and expiry date.
- Upload a copy of the certificate document.
To remove a certification, open the certification entry and select Remove.
Upload the actual certificate document alongside the certification record. This means your team can verify credentials directly in PropOps without having to contact the contractor separately.
Contractor coverage map
The coverage map gives you a full-screen interactive view of where your contractors work. Open it from the Contractors section of the sidebar.
Filtering contractors
Use the filter panel on the right (desktop) or the filter section in the panel (mobile) to narrow down contractors:
- Name — search for a specific contractor by name.
- Trade — show only contractors who cover a particular trade category.
- Coverage radius — filter by the maximum distance a contractor is willing to travel.
- Travel time — filter by travel time from a given location rather than straight-line distance.
Isochrone visualisation
When you select a contractor, PropOps draws an isochrone — a shaded area on the map showing everywhere that contractor can reach within their stated travel time. This gives a more realistic view of coverage than a simple radius circle, because it follows actual road networks.
Local and nationwide contractors
The panel below the map has two tabs:
- Local — contractors whose coverage area overlaps with your current map view.
- Nationwide — contractors who operate across the whole of the UK regardless of the map view.
Switch between tabs to see the relevant list for each category.
Postcode search
Type a postcode or place name into the search bar at the top right of the map. PropOps centres the map on that location and updates the contractor list to show who covers that area.
POI overlays
After searching for a location, you can toggle overlays for nearby points of interest:
- Parking — shows nearby car parks, useful for planning contractor access to city-centre properties.
- Hospitals — shows nearby hospitals, relevant for urgent or emergency maintenance at care-related properties.
Select the Parking or Hospitals button above the map to toggle each overlay on or off.
Assigning a contractor to a job
Use the coverage map to identify a suitable contractor, then return to the job form to make the assignment:
- On the job form, go to the Assignment section.
- Search for the contractor by name in the Contractor field.
- Select the contractor from the list.
- Save the job — the contractor receives a notification with the job details.
You can reassign the contractor at any point before the job is closed by editing the job and selecting a different contractor.
Smart job routing
PropOps can suggest the most suitable contractor for a job based on:
- The job type and the contractor’s trade categories.
- The property location and the contractor’s coverage area.
- The contractor’s current workload and availability.
Smart routing suggestions appear in the contractor assignment field when you create or edit a job. You can accept the suggestion or override it with your own selection.
