PropOps delivers notifications across four channels so that the right people hear about job updates, approvals, recalls, and system events in the way that works best for them.

Notification centre
The notification bell in the top navigation bar shows your unread notification count. Select it to open the notification centre, which lists all your notifications in reverse chronological order.Each notification shows:
- The notification type (e.g. Case Note, New User, Job Recalled).
- A short description of what happened.
- The time the notification was created.
- A link to the relevant record (job, user, or branch).
Read and unread state
Unread notifications are highlighted. Select a notification to mark it as read, or use the Mark All Read button at the top of the notification centre to clear all unread state at once.Filtering notifications
Use the filter buttons at the top of the notification centre to show only a specific type:
- All — every notification.
- Unread — only notifications you have not yet read.
- Case Notes — notifications triggered by new case notes on jobs.
- New Users — notifications for newly created accounts.
- Blacklist — security-related user blacklist events.
Clearing notifications
Select Clear All to permanently remove all notifications from your centre. This does not affect the underlying job or user records — it only clears your personal notification history.Transactional email
PropOps sends transactional emails via Brevo for events that require a more detailed or persistent record. Email notifications include:
- Job assignments and status changes.
- Case note updates — with a reply-to address so you can respond directly from your inbox and have the reply threaded back to the job.
- Recall notifications.
- Approval gate decisions.
- Overdue certificate reminders for contractors.
- SLA breach alerts.
- Onboarding, email verification, and password reset emails.
- Security alerts (e.g. login from an unfamiliar location).
Email threading
When you reply to a PropOps case note email, your reply is automatically added as a new case note on the relevant job. The full conversation thread is kept inside PropOps with no manual copy-and-paste needed.Notification preferences
You can control which email notifications you receive from your Profile → Notification Preferences page. Emails that are required for security or legal compliance (such as verification and breach alerts) cannot be turned off.All outbound emails are logged with the template used, recipient, and timestamp. Your administrator can review the email log under Admin → Email Log.Web Push (desktop and Android)
PropOps supports Web Push notifications on desktop browsers and Android devices. Push notifications appear as system notifications outside the browser — even when PropOps is not the active tab.Push notifications are sent for real-time events such as:
- New job assignments.
- Case note updates on jobs you are involved with.
- Recall events.
- Approval gate actions requiring your attention.
Installing the PWA for push notifications
To receive push notifications reliably, install PropOps as a Progressive Web App (PWA):On desktop (Chrome / Edge):
- Open PropOps in your browser.
- Look for the install icon in the browser address bar (a small computer or plus icon).
- Select Install and confirm.
- PropOps opens as a standalone app. Grant notification permission when prompted.
On Android (Chrome):
- Open PropOps in Chrome.
- Tap the three-dot menu → Add to Home screen.
- Confirm the installation.
- Open the installed app and grant notification permission when prompted.
Once installed, push notifications arrive even when the app is not open.Apple Push Notifications (iOS)
PropOps sends push notifications to iOS devices via Apple APNs. To enable them:
- Open PropOps in Safari on your iPhone or iPad.
- Tap the Share button and select Add to Home Screen.
- Open the installed app from your home screen.
- Grant notification permission when prompted by iOS.
iOS push notifications require the PWA to be opened at least once from the home screen icon after installation. Notifications will not arrive if you continue using PropOps only through the Safari browser tab.
WhatsApp for contractors and tenants
PropOps can send WhatsApp messages to contractors and tenants directly from a job record. This is useful for communicating job details to contractors in the field and to tenants who do not have platform access.WhatsApp messages are template-based — your administrator configures the available message templates under Admin → WhatsApp Templates. Each template defines the message structure and the data fields that are substituted in automatically (e.g. job address, job reference, contractor name).Sending a WhatsApp message from a job
- Open the job.
- Select WhatsApp from the top action bar.
- A dropdown lists the available message templates.
- Select the template you want to send.
- WhatsApp opens with the message pre-filled and the recipient’s number set. Review and tap Send in WhatsApp.
WhatsApp messages can be sent to the contractor assigned to the job or to linked tenants, depending on the template configuration.The recipient must have an active WhatsApp account on their registered phone number. No WhatsApp Business API account is required — PropOps generates a pre-filled message link that opens in WhatsApp Web or the mobile app.
Notification preferences
You control which notifications you receive through your personal notification preferences.
To update your preferences:
- Select your avatar or name in the top navigation bar.
- Go to Profile → Notification Preferences.
- Toggle each notification type on or off for each channel (in-app, email, push).
- Save your changes.
Changes take effect immediately. Some notifications — such as security alerts and email verification messages — are mandatory and cannot be disabled.
Your administrator can also configure organisation-wide notification defaults per tenant under Admin → Settings → Notifications.
