This guide covers how to get the most out of PropOps reporting and analytics features.

Dashboard overview

The dashboard is the first screen you see after logging in. It shows live stats and configurable widgets tailored to your role.

Stats bar

The stats bar at the top shows live counts:

New jobs todayJobs created since midnight
Completed jobsJobs that have reached Completed status
These are filtered by your account type — contractors see their own jobs, agents see their branch, and staff see the whole organisation.

Customising your dashboard

Enter edit mode

Select Customise in the dashboard toolbar.

Rearrange widgets

Drag and drop widgets to reorder them. Available widgets include New Jobs, Recalls, Booked Today, Completed Jobs, No Contractor Assigned, and Jobs by Type.

Save your layout

Select Save. Your layout is saved to your account and carries across devices.

Using the job calendar

The job calendar gives a visual view of all scheduled jobs, similar to Google Calendar.

Switching views

Use the controls at the top to switch between Month, Week, and Day views.

Filtering the calendar

Use the toolbar filters to narrow by:
  • Branch — jobs from a specific branch.
  • Contractor — jobs assigned to a particular contractor.
  • Agent — jobs managed by a specific agent.
  • Job type — filter by category (Gas Safety, EICR, Maintenance, etc.).
Select any job card in the agenda panel on the right to open the full job record. Use the Today button to jump back to the current date.

Running financial reports

Open the report

Go to Admin → Reports → Financial from the sidebar.

Search and filter

Use the search bar to filter by branch name, property address, job reference, or job title.

Review by branch

Jobs are grouped alphabetically by branch. Each branch section shows individual job rows and a branch subtotal covering agent amounts, contractor amounts, and in-house commission.

Identify action items

Look for jobs where client payment is pending, contractor payment hasn’t been sent, or commissions are unsettled.

Running user reports

The user report shows staff contribution across the platform.
  1. Go to Admin → Reports → User Report.
  2. Review the summary table — it shows jobs added, case notes written, files uploaded, accounts created, and last activity for each staff member.
  3. Use the Staff member filter to focus on a single user.
  4. Expand the detail section to see activity broken down job by job.

Understanding branch performance

Branch performance analytics score each branch on a 0–100 scale with a letter grade from A+ to D.

Using the analytics view

  • Top performing branches are highlighted at the top.
  • Branches needing attention are flagged with below-average scores.
  • Select two branches to compare them side by side and identify best practices.

AI-generated reports

PropOps can generate AI-assisted reports using Google Gemini.

Open the report generator

Go to Admin → Reports → Financial Report.

Set the scope

Select the date range and branches you want to include.

Generate the report

PropOps analyses your financial data and produces a structured report highlighting key metrics, trends, and anomalies.

Export

Download the report for board presentations, accountancy review, or branch performance monitoring.
AI reports require a Google Gemini API key configured in your .env file (GEMINI_API_KEY).
