This guide covers the day-to-day tasks for managing your contractor network in PropOps.

Adding a new contractor

Open the contractor form

Go to Contractors in the sidebar and select Add Contractor.

Enter their details

Fill in the contractor’s name, company, phone number, email, and VAT number. All contact fields are encrypted at rest.

Set their trades

Select one or more trade categories (e.g. Plumbing, Electrical, Gas Safe). Trades determine which job types the contractor can be matched to.

Define their coverage area

Set the geographic radius the contractor is willing to travel. This feeds into the coverage map and smart job routing.

Save the contractor

Select Save. The contractor is now available for job assignment.

Uploading certifications

Certifications track qualifications with expiry dates. PropOps sends automated reminders before a certificate lapses.

Open the contractor profile

Find the contractor in the list and open their profile.

Add a certification

Select Add Certification. Enter the certification name, issuing body, issue date, and expiry date.

Upload the document

Attach a copy of the certificate (PDF, JPG, or PNG). This lets your team verify credentials without contacting the contractor separately.

Save

The certification appears on the contractor’s profile with a status indicator — green for valid, amber for expiring soon, red for expired.
An expired certification can prevent a contractor from being matched to certain job types. Keep certifications up to date to avoid assignment gaps.

Using the coverage map

The coverage map is the fastest way to find the right contractor for a property.

Open the map

Go to Contractors → Coverage Map from the sidebar.

Search by postcode

Enter the property postcode in the search bar. The map centres on that location and the contractor list updates to show who covers the area.

Filter by trade

Use the filter panel to narrow results by trade category, coverage radius, or travel time.

View the isochrone

Select a contractor to see their isochrone — a shaded area showing everywhere they can reach within their stated travel time, based on actual road networks.

Check local vs nationwide

Use the Local tab to see contractors whose coverage overlaps your map view, or Nationwide for contractors who operate across the UK.

Reassigning a contractor

You can change the contractor on a job at any point before the job is closed.
  1. Open the job and select Edit.
  2. Clear the current contractor and search for a new one.
  3. Save the job — the new contractor receives a notification and the previous one is notified of the reassignment.

Monitoring contractor performance

Use the Reports section to review contractor activity:
  • Jobs completed — how many jobs each contractor has finished.
  • Average completion time — how quickly they complete work.
  • Recall rate — how often their work is recalled for further attention.
  • Certification status — which certifications are current, expiring, or expired.
This data helps you make informed decisions about which contractors to prioritise for future work.
