# Managing Contractors

> Add contractor profiles, upload trade certifications, use the interactive coverage map, and assign the best-matched contractor to each job.

This guide covers the day-to-day tasks for managing your contractor network in PropOps.

## Adding a new contractor

  <Step title="Open the contractor form">
    Go to **Contractors** in the sidebar and select **Add Contractor**.

  <Step title="Enter their details">
    Fill in the contractor's name, company, phone number, email, and VAT number. All contact fields are encrypted at rest.
  </Step>

  <Step title="Set their trades">
    Select one or more trade categories (e.g. Plumbing, Electrical, Gas Safe). Trades determine which job types the contractor can be matched to.
  </Step>

  <Step title="Define their coverage area">
    Set the geographic radius the contractor is willing to travel. This feeds into the coverage map and smart job routing.
  </Step>

  <Step title="Save the contractor">
    Select **Save**. The contractor is now available for job assignment.

## Uploading certifications

Certifications track qualifications with expiry dates. PropOps sends automated reminders before a certificate lapses.

    Find the contractor in the list and open their profile.
  </Step>

  <Step title="Add a certification">
    Select **Add Certification**. Enter the certification name, issuing body, issue date, and expiry date.
  </Step>

  <Step title="Upload the document">
    Attach a copy of the certificate (PDF, JPG, or PNG). This lets your team verify credentials without contacting the contractor separately.
  </Step>

  <Step title="Save">
    The certification appears on the contractor's profile with a status indicator — green for valid, amber for expiring soon, red for expired.

<Warning>
  An expired certification can prevent a contractor from being matched to certain job types. Keep certifications up to date to avoid assignment gaps.

## Using the coverage map

The coverage map is the fastest way to find the right contractor for a property.

  <Step title="Open the map">
    Go to **Contractors → Coverage Map** from the sidebar.
  </Step>

  <Step title="Search by postcode">
    Enter the property postcode in the search bar. The map centres on that location and the contractor list updates to show who covers the area.
  </Step>

  <Step title="Filter by trade">
    Use the filter panel to narrow results by trade category, coverage radius, or travel time.
  </Step>

  <Step title="View the isochrone">
    Select a contractor to see their isochrone — a shaded area showing everywhere they can reach within their stated travel time, based on actual road networks.

  <Step title="Check local vs nationwide">
    Use the **Local** tab to see contractors whose coverage overlaps your map view, or **Nationwide** for contractors who operate across the UK.

## Reassigning a contractor

You can change the contractor on a job at any point before the job is closed.

1. Open the job and select **Edit**.
2. Clear the current contractor and search for a new one.
3. Save the job — the new contractor receives a notification and the previous one is notified of the reassignment.

## Monitoring contractor performance

Use the **Reports** section to review contractor activity:

* **Jobs completed** — how many jobs each contractor has finished.
* **Average completion time** — how quickly they complete work.
* **Recall rate** — how often their work is recalled for further attention.
* **Certification status** — which certifications are current, expiring, or expired.

This data helps you make informed decisions about which contractors to prioritise for future work.
